Registration

What time does registration begin?
Registration begins February 8, 2008, at 1:00 EST. Please note the time zone is based on the LOEX office location in Michigan, not the conference location.

Can I register by phone?
No. Registration is through the online form that will become available on February 8, 2008, at 1:00 EST.

What is the registration fee?
Registration rates are posted on the Registration page.

Do I have to be a LOEX member to register on February 8?
No, but it definitely helps. LOEX members have registration priority. Of the roughly 200 spots registration spots that will be made available, only 10 conference spots will be reserved for non-members. Additionally, if there is a wait list, LOEX members will be placed at the top.

How can I save on registration?
Registration rates are cheaper for participants from LOEX member institutions. If you are not certain of your membership status, please just register. Membership issues can usually be resolved after registration. If you have any questions, please contact loex@emich.edu. Reduced registration rates are also available for graduate students in LIS programs.

What are accepted forms of payment for registration?
Conference registration payment is due March 17, 2008. No payment is due at the time of registration. Registration can be paid by check (via mail) or credit card (via mail, fax, or phone).
 
Use this form for regular presenters/attendees; use this form for student presenters/attendees.

Is there a registration deadline?
There is no registration deadline, but we recommend that you register as soon as possible. Space is limited and this is a popular conference. Registration has filled in less than an hour at some previous LOEX conferences.

If I am unable to attend, what is the cancellation policy?
The last day to request a refund is March 31, 2008.

How do I know if I'm registered?
Everyone who registers has paid and been sent a receipt.

Where can I pick up my badge onsite?
You must register for the conference in advance through the online registration form. Beginning at 1:00 p.m. (CST) on Thursday, May 1, you will pick up your conference materials and name badge at the conference registration and information table in the Doubletree hotel near the hotel's registration desk.

Travel & Local Information

How do I get from the airport to the Doubletree Hotel?
There are several options, including taxi and shuttle service. The Doubletree website provides taxi fare estimates, though please note these do not include tip and are minimum rates that may be slightly higher depending upon traffic. American Taxi offers a flat rate between Oak Brook and O'Hare/Midway airports. Passenger information for calling a cab from the airports is available online.

There are also shuttle services available. Shuttles are reserved and coordinated by the registrants, not by the LOEX 2008 committee. Airport Express offers a $2 off coupon and a custom reservation page for LOEX attendees.

Public transportation is possible, but not convenient. You can review options at the RTA website. When using the trip planner, you can select Oakbrook Center as the landmark closest to the hotel. It's the large mall that's across the street from the hotel.

Conference attendees are responsible for making their own travel arrangements. Please note that these links are provided as a convenience for the participants, rather than as an endorsement of any particular transportation option.


What's near the conference hotel?
The Doubletree Hotel is adjacent to the Oakbrook Shopping Center.

Are there sightseeing activities for families during the conference?
There are many activities in the Chicago area. You are responsible for making your own sightseeing arrangements. We encourage you and your guests to see the city and visit its many interesting sites. The conference organizers will not make sightseeing plans for conference attendees or their guests. The Doubletree Hotel offers free shuttle rides to the Metra commuter train, which can take you downtown. The Chicago Convention and Visitor's Bureau is a good place to find information about local activities.
 

Presenting

I am a presenter; do I have to register?
Yes. Although spots for up to three presenters per group will be automatically saved for the conference, each individual presenter needs to fill in a short online registration form. Completion of the online form gives us your preferences regarding the Thursday reception, dietary selections, and any special needs. All presenters are required to pay registration in full by March 17, 2008. Failure to pay the registration fee could result in the cancellation of your presentation and conference registration. All presenters are responsible for paying their own travel and lodging expenses.

How and when will I find out if my proposal has been accepted?
People who proposed breakout or interactive sessions were notified by email by January 18, 2008. People who submitted poster session proposals will be notified by email by February 6, 2008.

What computer equipment will be available for presenters?
Presenters are required to bring their own laptop computer. Mac users should bring their own VGA adapter so that the laptop can connect to the LCD projector. LCD projectors will be available in all breakout rooms.

Other

When will the conference end?
The conference ends at 3:00 p.m. on Saturday, May 3, at the conclusion of the last breakout session. There is no final wrap up session. See the conference schedule for the complete times.

Can guests attend meals (especially Friday dinner)?
Meals and events, including the Thursday evening reception and Friday dinner, are for conference attendees. We are not able to include guests. Guests are able to dine in the Doubletree's restaurant or in any of the many nearby restaurants.

Can I earn academic credit for attending?
Academic credit is not available for attending the LOEX conference.
